Full job description

A growing professional services firm is seeking a highly organized, proactive, and professional to serve as a direct extension of executive leadership and daily business operations.

This role is responsible for managing executive communications, scheduling, CRM administration, client follow-up, project coordination, and operational execution. The ideal candidate thrives in a fast-paced environment, independently manages multiple priorities, and demonstrates exceptional attention to detail, discretion, accountability, and follow-through.

This is a long-term opportunity for someone who enjoys supporting leadership, creating structure, solving problems proactively, and ensuring that important tasks, communications, and projects move forward efficiently.

Responsibilities

Executive Support

  • Manage and organize a high-volume inbox
  • Prioritize, draft, and respond to emails professionally
  • Maintain executive calendars and scheduling
  • Manage executive communications and administrative workflows
  • Act as a trusted extension of executive leadership

Operations & Administrative Support

  • Maintain CRM records and client information
  • Track projects, action items, and deadlines
  • Support document preparation and file management
  • Ensure operational tasks are completed accurately and on time

Requirements

  • Advanced English required (spoken and written)
  • Strong communication and follow-up skills
  • Excellent organization and time management
  • Professional and positive attitude
  • Ability to multitask and prioritize responsibilities
  • Reliable internet and work-from-home setup & VPN
  • Experience with CRM systems, maintenance coordination, leasing support, or scheduling is a plus

Schedule

Preferred Qualifications

  • Experience in financial services, insurance, wealth management, or professional services
  • Experience managing high-volume executive inboxes
  • CRM experience (especially Wealthbox or Salesforce-based systems)
  • Experience supporting remote executives
  • Familiarity with financial documents and compliance procedures
  • Bookkeeping or accounting experience is a plus
